Management of condominium complexes

Recording all master data for the property, owners, and tenants

Preparing an annual financial plan for each fiscal year, including adjustment of the maintenance reserve for proper property management

Preparing the service charge statement (housing fee statement) for the completed fiscal year

Managing bank accounts held in the name of the owners’ association (e.g., service charge accounts, reserve accounts), handling all payment transactions, and processing monthly direct debits

Proper commercial bookkeeping, including notification of the advisory board in case of arrears in service charges or special assessments

Monitoring incoming payments according to the current financial plan

Preparing an up-to-date list of payment arrears

Organizing the annual owners’ meetings and preparing the meeting minutes, including distribution of copies to all owners

Implementing resolutions passed by the owners and maintaining the official record of resolutions

Attending advisory board meetings, including the review of financial statements

Monitoring the community’s service contracts

Awarding contracts for common property, checking and approving invoices

Regular inspections of the common property, including documentation of findings in an inspection report with the advisory board

Close cooperation with the advisory board on matters of maintenance, repair, and modernization, as well as contract awarding

Preparing short-, medium-, and long-term maintenance and repair plans (including schedules and cost estimates)

Arranging repairs and entering into service contracts for ongoing maintenance and repair work

Monitoring deadlines for quotations, orders, work completion, and final invoices; issuing warnings to contractors in case of delays

Checking all regular and special maintenance work carried out on the property

Initiating immediate emergency measures in urgent cases such as burst pipes, fire, or storm damage

Providing a 24-hour emergency service and ensuring availability for urgent cases

Reporting insured damages affecting private or common property to the insurance company

Arranging the issue of keys and lock cylinders from the locking system for the common property (in accordance with the locking plan)

The management company is willing and able to provide additional services upon request. Compensation for these services will be agreed upon in the management contract.
